Submit Leave Request

Requesting Leave

  1.  Select [Leave] from the left navigation menu.
  2.  Select the ‘Submit Request’ tab at the top right of the page.
  3.  Click the ‘Add New Request’ button at the top of the Submit Request screen.

    4.  Add request details. 

     The following fields are listed in the request details:

  • Leave Type – Select the leave type to be used from the drop down list
  • First Day of Leave
  • Partial Day – If the First Day of Leave is less than 8 hours, check this box
    Hours (required if the Partial Day is checked): Number of hours of leave used on first day
  • Last Day of Leave
  • Partial Day – If the Last Day of Leave is less than 8 hours, check this box
    Hours (required if Partial Day box is checked): Number of hours of leave used on first day

     If a partial first or last day of leave is being requested, enter the times requested in the ‘Contact Information’ field. (I.e. 9AM – 12PM)
     Contact Information: How to be contacted while out of the office (I.e. Available via email). 

  • Additional Notes for Request: Information regarding the request. Visible to only the person submitting the request, and those designated to approve the request.
  • FMLA Leave Being Used? (required if FMLA leave is being used for the time requested): Once selected, a list of FMLA types will be selectable below the check box.

      5. Click the ‘Submit’ button.

 

Note: Required fields are indicated by a red asterisk (*).

Once the new request is processed, the new request will display in the list at the top of the page. 

 

Change a leave request

  1. From the left navigation menu, select [ Leave ].
  2. Select the ‘Submit Request’ tab at the top right of the page.
  3. The screen will automatically display pending requests by default. To view approved requests, select the ‘Approved’ filter located on the right side of the screen. If the list of approved requests is too extensive, you can further refine your search by using the drop-down menu to filter requests by specific time frames, such as the past 30 days, 90 days, or 1 year. 
  4. Click on the request you wish to change. 
  5. Click the ‘Change Request’ button at the top of the Submit Request screen.   
  6. To change the request, update fields in the ‘Request Detail’ area as described above. Notice that if the user deletes all data out of any of the 3 asterisked (*) required fields, the ‘Submit’ button is deactivated until required (*) fields are populated. 
  7. Click the ‘Submit’ button to finalize and submit your changes. Once submitted, the review process for the request will be restarted.
  8. Clicking the ‘Cancel’ button will discontinue changing the request and the screen will return to view only mode.  
  9. Once the change request is processed the user’s screen will reset. The original request will be updated and the user will be back in View Only mode. 
  10. Changes to requests will appear in the requests details both on this screen an the reviewers screen. 
  11. A new note will also appear under ‘Reviewer Comments’ on this and the Review Leave screens.
  12. On the Review Leave screen the reviewer details will also be updated.
  13. No updates will be made to the listing of leave days and leave totals until reviewers have given final approval.

 

Cancel a leave request

  1.  Select [Leave] from the left navigation menu.
  2.  Select the ‘Submit Request’ tab at the top right of the page.
  3.  The default list view displays current pending requests.  To view previously approved requests, select the ‘Approved’ filter located on the right side of the screen. Additionally, you can refine your search by using the drop-down menu to filter requests by specific times (requests submitted within the last 30 days, 90 days, or 1 year). 
  4.  Select the request you want to cancel.
  5.  Click the ‘Cancel Request’ button at the top of the screen.

     
  6. The three button menu at the top of the screen will be replaced with a new menu that will give you two choices: ‘Cancel’ and ‘Submit’. 
  7. Clicking the ‘Cancel’ button will discontinue canceling the request and the screen will return to view only mode.

  8. To Cancel the previously approved request, click the ‘Submit’ button.

  9. Once the request to cancel is submitted/processed the list will refresh and the cancellation request will be listed as a ‘Pending’ request.

Once the request to cancel has been approved, the leave records will be updated.

Note: Changes to the request details are not permitted when in cancel mode.
